Every workshop gets its own page, tickets and a guest list.

Put each workshop, retreat day or one-off event on its own page with its own price and number of places, and share that link wherever you promote it. People book one place or several, pay by card or book free places, and get a ticket and calendar buttons by email – while you watch the guest list fill.

One workshop, from announcement to the door

Six weeks out

You add a Saturday breathwork workshop as a one-off session: 10am to 4pm, twenty places, its own price. Its page is live straight away, so the link goes in your newsletter and on Instagram the same evening.

Ten days before

The last place goes and the page shows it as sold out. A couple who missed out join the waitlist. Someone cancels, and the first person on the list is offered the place by email.

People arrive with their ticket on their phone. You scan each one at the door, and the guest list shows who is in and who has not turned up yet.

What it does for a workshop or event

A page for every date

Each dated session gets its own page that you can share, with the time, the price, the location you give the service and, if you choose, how many places are left. It carries event structured data, so search engines can read it as an event rather than a block of text.

Its own price and number of places

A one-off session can have a different price and capacity from the service it belongs to, so a full-day retreat and a two-hour taster can sit side by side. It shows as sold out when the places are gone.

Friends book together

Let people book several places in one go, up to a maximum you set. One booking, one payment and one ticket covers the whole group.

Early-bird prices without a code

Set a reduced price that runs until a date you choose. The booking form shows it already applied, and the full price comes back by itself when the date passes. Codes work as well, including one that only applies to a group of four or more.

The questions you need answered

Ask about dietary needs, experience, access requirements or where someone heard about you. Answers stay with the booking and come out in your bookings export, ready for the caterer or the venue.

Tickets and check-in at the door

Every booking gets a phone-sized ticket with buttons to add it to Google Calendar, Outlook or Apple Calendar. With check-in switched on, the ticket carries a QR code you scan with your phone, and people who never arrived can be marked as no-shows.

A waitlist for sold-out dates

People join without paying. When a place frees up, the first person is emailed and it is held for them for twelve hours before passing to the next. The list closes when the event starts.

Private and link-only events

Hide a service from your home page and it can only be booked from its direct link – useful for a corporate training day or a workshop you run for another studio's students.

The details that matter on the day

A one-off date has no next week to put things right, so these smaller parts of the product matter more for events than for weekly classes.

  • Reminders you time yourself. Send one or two reminder emails at the number of hours before the start you choose – say a week ahead so people can pack what they need, then again the evening before. The timing is one setting for your whole site, not a separate one for each event.
  • Online events and other time zones. Paste a meeting link into the service and it goes out with each confirmation. Visitors see the start time in their own time zone.
  • Calling off a date. Cancel the session and every booking on it is cancelled, with an email to each person booked.
  • Walk-ins and phone bookings. Add a booking yourself for someone who rang or turned up, and record it as paid, unpaid or free – it joins the same guest list. Marking it paid is a note for your records: there is no card reader, and people booking online cannot choose to pay on the door.
  • A cancellation policy applied for you. Set how many hours before the start a cancellation still gets a full refund and how late people can move to another date, and whether qualifying refunds go through automatically. People cancel or move from the link in their emails.
  • A look that suits events. Five design templates with four styles each, including Spotlight, with your colours, fonts, logo and a hero photo.

Getting paid for your events

People pay the full price by card when they book, or book a free place if the event costs nothing. On the Free plan there is no monthly fee; card payments we collect cost 6.5% + 20p* each. Paid plans run from £12.50 a month + tax, billed yearly (£150.00 + tax a year), or £15.00 a month + tax paid monthly.

Connect the Stripe account you have, or open one through us. Clients pay by card when they book and the money settles in your Stripe account on Stripe's payout schedule. BookBookNow takes no commission; Stripe's own card fees apply.

No Stripe account needed.

BookBookNow collects the card payment for you and pays it out to your bank on request, after a short hold. Our commission includes Stripe's fee for standard UK cards; a dearer card adds Stripe's extra fee at cost. Commission per payment: Free 6.5% + 20p*, Starter 5% + 20p*, Studio 3% + 20p*, Pro 2% + 20p*.

What we do not do for events yet

Some kinds of event need things we have not built. It is better to know now than after you have sold the first ten places.

  • No deposits or instalments. The whole price is taken at booking. A residential retreat paid in stages is not a good fit yet.
  • No courses in one checkout. Each date is its own booking, so a six-week course cannot be sold as a single place.
  • One price per place on each date. There are no ticket types such as adult and concession on the same date; on the plans with discount codes, a code can do that job.
  • No seat plans. People book a number of places, not a particular seat, table or mat.
  • One calendar per site. There are no separate calendars for different hosts or rooms, and no multiple locations under one account.

If your events are large ticketed shows with seating plans, festivals with several ticket types, or courses sold by the term, a ticketing or course platform will serve you better. If you run workshops, retreat days and one-off events alongside your teaching, that is what we built this for.

Questions

Can I take a deposit for a retreat and the rest later?

Not yet. The whole price is paid by card when someone books, and there are no deposits, instalments or pay-later options online. If your retreats need a deposit months ahead, take bookings with a tool that handles part payments, or add the booking yourself from your admin and mark it unpaid until the balance arrives.

Can one person book places for a group of friends?

Yes. Switch on booking for several people and set the most places one booking can take. The price is per place, and everyone arrives on the same ticket. A discount code can also require a minimum group size, on the plans that include codes.

Can I run a free event and still take bookings?

Yes, on every plan. Set the price to zero and people book a place without paying, so you still get a guest list, a capacity limit and reminder emails. Paid places cost at least 1.00 in your currency.

Do people get the meeting link again before an online workshop?

Yes. The link you paste into the service goes in the confirmation and in each reminder email, and when the service has no address the ticket tells people the link is in their confirmation. It is one fixed link per service, so every date of that service shares it; there is no Zoom, Google Meet or Teams integration.

What happens to paid bookings if I call off a date?

Every booking on that date is cancelled and each person gets an email. Paid bookings are marked as refund due and you refund each one from its booking page – unless you have switched on automatic refunds, in which case bookings paid online by card are refunded straight away.

* The commission includes Stripe's fee for standard UK cards. Stripe charges more for some cards – about +1.3% for premium and business UK cards, +1% for European cards and +1.65% for other international cards, plus 2% when Stripe converts the payment from another currency – and we add that difference at cost, shown against each payment.
