A week of classes, without the group chat

Fourteen bikes, fourteen places. You scan tickets on your phone as people walk in, and anyone who did not turn up is marked as a no-show.

Heavy rain on the common. You cancel the park bootcamp once, and everyone booked on it gets an email instead of standing in the wet.

What it does for fitness classes

A timetable that repeats

Enter a class once with its day, start time, number of places and price, and sessions are created ahead for as many weeks as you choose, from one to 52. Add one-off sessions alongside: a bank holiday bootcamp, a charity circuits class or a summer evening session in the park.

Capacity and sold out

Each class has its own number of places, so a park bootcamp for thirty and a spin room of fourteen sit on the same timetable. A class shows as sold out when it is full, and if you allow it, someone can book a place for a friend in the same booking.

No app to download

Clients book on your site in any phone browser. Their ticket opens on the phone with buttons to add the class to Google, Outlook or Apple calendars, and regulars can add your site to their home screen.

Tickets carry a QR code that you scan with your phone – the check-in screen runs in the browser, like everything else. Check in the whole roster at once, and let bookings nobody checked in be marked as no-shows automatically.

Once a class is full, people can queue for it at no cost. If a place comes free, whoever is at the top gets an email and has twelve hours to book it; after that the offer moves to the next in line.

Someone turns up without booking? Add them as a desk booking and mark them paid, unpaid or free. They appear on the roster with everyone who booked online.

When the weather calls the class off

Outdoor classes get cancelled, and the worst part is usually telling everyone. Here you cancel the session once: every booking on it is cancelled and each client is emailed, with a calendar file that marks the class as cancelled. Each paid place is refunded in full straight away if you have automatic refunds switched on; if not, it is marked as refund due for you to refund from the booking. If you want to run a make-up class, add a one-off session and share its page.

Clients can call it off too. They cancel or move their own booking from the link in their emails, inside the windows you set in hours – how close to class they can still get a refund, and how close they can still switch to another session. A place given up goes back on sale, or to the waitlist on plans that have one.

Reminders go by email only, one or two of them at the times you choose. There are no text messages. The emails we send count towards your plan's monthly allowance – confirmations and reminders included – and once it is used, emails stop until the next month. A timetable with dozens of bookings a day uses an allowance quickly, so check the figures on the pricing page against your weekly numbers.

Getting paid per class

Clients pay the full price by card when they book, so nobody owes you for last week's session. On the Free plan there is no monthly fee; card payments we collect cost 6.5% + 20p* each. Paid plans run from £12.50 a month + tax, billed yearly (£150.00 + tax a year), or £15.00 a month + tax paid monthly.

Our commission includes Stripe's fee for standard UK cards; a dearer card adds Stripe's extra fee at cost. Your timetable where people already look

Every dated class gets its own page you can paste into a group chat or an Instagram bio, so people land on the class they asked about rather than a contact form. If you already have a website, the embeddable timetable shows the next 14 days of classes in your colours; its buttons open your booking site to finish the booking.

Your site starts on yourname.bookbooknow.com; when you want a web address of your own, add one CNAME record with your domain provider and the certificate is set up for you.

A gym run on memberships, with a front desk selling passes, is better served by gym management software. We suit the instructor or small studio selling places in classes one at a time.

Questions

Can I cancel an outdoor fitness class because of bad weather?

Yes, right up to the start time. Cancel the session from its page in your admin and everyone booked on it hears by email straight away, so you do not have to message each person.

Can clients choose a specific bike in a spin class?

No. A booking is for a place in the class, so match the number of places to the number of bikes and riders take a bike as they come in. If regulars expect their usual bike, that is something to sort out at the door.

Is there a free online booking system for fitness classes?

Yes. The Free plan has no monthly fee and no card to sign up, and it includes a repeating timetable, class capacity and email reminders. Card payments on it are collected by BookBookNow for a commission on each one. Check the monthly email allowance on the pricing page if you run a busy timetable.

Can I run a free taster class?

Yes. Set the price of a class, or of one session, to 0 and people book a place without paying. It still has a capacity, sends confirmations and reminders, and appears on the class roster like any other booking.

Can people pay cash at the door instead of booking online?

Clients cannot choose to pay on arrival when they book online. You can add walk-ins yourself as desk bookings and mark them paid or unpaid, but there is no card reader or cash takings report.

How do I cut no-shows at my fitness classes?

Send one or two reminder emails at times you choose, and let clients cancel from the link in their email so the place can go to someone else. On plans with attendance, anyone not checked in can be marked a no-show automatically, so you can see who books and does not come. There are no no-show fees.

* The commission includes Stripe's fee for standard UK cards. Stripe charges more for some cards – about +1.3% for premium and business UK cards, +1% for European cards and +1.65% for other international cards, plus 2% when Stripe converts the payment from another currency – and we add that difference at cost, shown against each payment.
