What it does for a pilates studio
Capacity that matches the room
Give each class the number of reformers, towers or mats you have. A reformer class of eight and a mat class of twenty can run side by side, and each shows as sold out when its last place goes. If you allow it, clients can book a place for a friend in the same booking, up to a limit you set.
A timetable set once
Add a weekly class – day, time, capacity, price – and sessions are created for as many weeks ahead as you choose, from one week to a year. Add one-off sessions for workshops, teacher training days or a bank holiday class.
Waitlist offers for late cancellations
When a class is full, clients join the waitlist for free. A freed place is emailed to the first person in line and held for twelve hours; if they let it lapse or say no thanks, it passes to the next person automatically.

Intro codes and early-bird prices
Take a percentage or a fixed amount off, for one class, a category or everything, with start and end dates and a cap on uses. An early-bird price for a new reformer class applies without a code until the date you set.

Health questions at booking
Ask about back or joint problems, recent surgery, pregnancy or postnatal recovery, and pilates experience. You choose the question types – yes or no, text, tick boxes, dates – and the answers are kept with the booking and in your bookings export.
QR check-in at the studio door
Each ticket carries a QR code. Scan it with your phone, check in the whole class from the roster, or mark everyone who did not arrive as a no-show in one tap.

Late cancellations follow your rules
A reformer place that goes empty at the last minute is a machine nobody uses, so the cancellation rules matter more than they do for a big mat class. You set two windows in hours: how close to class a client can still cancel for a refund, and how close they can still move to another class. Out of the box they are seven days (168 hours) for refunds and 48 hours for moving – change them to 12 or 24 hours if that is your policy. Clients cancel or move from the link in their emails, and refunds inside your window can be made automatically.
On plans with a waitlist, a place that is given up is offered on. Each offer is held for twelve hours before it passes to the next person, so a cancellation made the evening before a 7am class may not reach the second person in line in time. The waitlist refills cancellations made a day or more ahead most reliably.
If an instructor is ill and you cancel a class, every booking on it is cancelled and each client is emailed. Because you called it off, every paid place counts for a refund whatever your cancellation window: with automatic refunds switched on each one is refunded in full straight away, and otherwise it is marked as refund due for you to refund from the booking.
Getting paid for each class
Clients pay the full price by card when they book, so a reformer place is paid for before the class runs. On the Free plan there is no monthly fee; card payments we collect cost 6.5% + 20p* each. Paid plans run from £12.50 a month + tax, billed yearly (£150.00 + tax a year), or £15.00 a month + tax paid monthly.

BookBookNow collects the card payment for you and pays it out to your bank on request, after a short hold. Our commission includes Stripe's fee for standard UK cards; a dearer card adds Stripe's extra fee at cost. Commission per payment: Free 6.5% + 20p*, Starter 5% + 20p*, Studio 3% + 20p*, Pro 2% + 20p*.

Moving from another booking system
Save your client list as a CSV file of up to 5 MB, from a spreadsheet or whatever export your current system gives you. Upload it, match its columns to the client details, and check the first 20 rows in a preview before anything is saved. Clients are matched by email, so a second import fills gaps without overwriting what you already have. You can set marketing consent for the whole file or row by row, and any rows that were skipped download as their own CSV for you to fix.

What does not come across. Past bookings, class history and any credits or passes clients hold with your current system stay behind, and nobody is emailed during the import. Plan the switch for a week when you can honour existing bookings in your old system while new ones come in here.
Once regulars are on your new site, client login lets them see their bookings and use Book again for the class they come to every week, with the booking form filled in for them. They sign in with a link sent by email, so there is no password to forget.

Is it right for your pilates studio?
A good fit if
- You run mat or reformer classes where clients pay for each class when they book
- You teach from one studio, or hire halls for mat classes on a weekly timetable
- You want intro offers, a waitlist and door check-in on a booking site of your own
Not the right fit yet if
- Your studio sells monthly memberships, class packs or credits
- You charge late-cancel or no-show fees, or sell beginners courses in one payment
- Clients need to pick a particular instructor, reformer or spot in the room
- You want text-message reminders or a branded app
If those limits rule us out, a system built around memberships and staff schedules will suit your studio better for now.
Questions
Can clients choose which reformer they use?
No. Clients book a place in the class, not a particular machine or spot in the room. Set the class capacity to the number of reformers and allocate machines when people arrive.
Is there a free pilates booking system for mat classes?
Yes. The Free plan has no monthly fee and needs no card to sign up. It covers a recurring timetable, class capacity, booking questions and email reminders. Card payments on that plan are collected by BookBookNow for a commission on each one; paid plans let clients pay into your own Stripe account instead. The plan has a monthly email allowance, and once it is used, confirmations and reminders stop until the next month, so check it on the pricing page against your weekly bookings.
How do I run an intro offer for new pilates clients?
On plans with discount codes, create a code with a percentage or amount off, limit it to your intro class or category, and give it an end date and a maximum number of uses. The code does not check whether someone has booked before, so the use limit and end date are what keep it in hand.
Can clients book a six-week beginners course in one go?
Not in one checkout. Each booking is for one class, so a six-week course means six bookings. If a paid-up course with one payment is how you sell beginners, a tool with course or term booking will suit that better.
Can BookBookNow charge a fee when a reformer client cancels late?
No. There is no separate late-cancel or no-show fee. What you can do is set the refund window wide, so a client who cancels late simply is not refunded, and on plans with a waitlist let it offer the place on.
Can I bring my clients over from my current booking system?
Yes, as a client list. On plans with import, upload a CSV of names, emails and details, match the columns and check a preview before importing. Past bookings and class history do not come across, and nobody is emailed during the import.
